Office Manager/Employee Experience

This position is for someone who enjoys being part of a large yet close-knit team, the calm center at the eye of the storm, the face (and voice) of an emerging company that is getting bigger every day.  This newly-created role arose from a need to have a steady presence representing the company at ground level. We seek someone who will represent the company to the outside world with poise and professionalism, while supporting a group of over 100+ employees with the day-to-day tasks that allow them to produce their best work. Sometimes, it’s the little things that make a workplace all the more special. We’re looking for someone who delights in creating great experiences for others, is creative in looking at all aspects of what makes us great, and the flawless execution of all things.

What you get to do every day - some is virtual and some in office now:

  • Employee Experience:
    • Onboarding New Hires
      • Ensuring our new hires feel welcome, prepared and are prepared
        • Includes IT and day to day set up, introductions, team integration facilitation and being their point of contact  
        • Creating a world class onboarding experience
      • Prepare new workstations, including computer, monitors, phones, and phone extensions
      • Schedule, their 30 day check-in with Recruiting, ToMorientation, coworking time, etc
    • Culture
      • Oversee morale budget and spending
      • Plan and throw company-wide events that highlight ToMo's culture
      • Showcase ToMo's culture to the public in delightful, engaging ways
    • Swag/Connection
      • Be the point-person for ToMoversary and birthday celebrations
      • Suggest new and exciting ways to showcase and reward team members
    • External Sites
      • Support development and updating of sites - LinkedIn, Glassdoor, etc. 
      • Responsible for helping to showcase the organization
    • Partner in the development of programs that will wow, delight and excite
  • Calendar/administrative support for executives team
    • Calendar and meeting management
    • Off-site meeting support - including board meetings
  • IT
    • Partner with our employees, vendors, and consultants to ensure success in the digital connection for ToMies
    • Laptop configuration, disbursements, and basic support with liaison to consulting firm
  • Office/Facilities
    • Administrative skills that keep us humming (including but not limited to):
      • Front desk duties as needed 
      • Distributing mail and packages
      • Monitoring the recycling/waste management program
      • Ordering all office supplies including business cards, room signs, and furniture
      • Ordering beverages, snacks, lunches, and events’ supplies
      • Maintaining the office supply shelving unit, kitchen, and pantry
      • Managing document flow (shredding, scanning, etc.)
      • Responsibility for key card management 
      • Fire safety
      • Working with the building team, both in SF and our warehouse in Union City to ensure compliance, maintenance and updates are handled
  • Recruiting Support as needed
  • Additional tasks as assigned

 

What you bring to the role:

  • At least 2-3 years of experience in office management, administration and support
  • At least 1 - 2 years of experience in HR / recruiting
  • Excellent verbal and written communication
  • Excitement around making ToMo a better place and partnering with ToMies
  • Ability to independently prioritize and multitask
  • Dependability
  • Attention to detail
